One console, every client

An accountant login sees every client company it has been granted access to. Move between them without signing out, without a separate password per client, and without a spreadsheet tracking which login belongs to whom. Add another accountant at your firm and grant them the clients they actually work on.

You control the pay run

Calculating a pay run, presenting it to the client, and locking it are accountant-only by default. The client sees the result and approves it; they cannot quietly change a figure behind you. When a client is ready to run their own payroll, you can switch them to self-serve instead — and switch them back.

Once a run is locked it is frozen. Corrections are recorded as corrections rather than edits, so a prior quarter never silently changes underneath a filing you have already made.

Onboarding a client

Invite the client’s own users by email from the client’s setup screen. Hoshipay sends a verification link, they confirm their address and set a password, and they land in a portal scoped to their company alone. The same invite flow adds another accountant to a client.

Taxes filed, not just calculated

Withholding is calculated to the IRS tables. On full-service plans Hoshipay collects and remits your client’s payroll taxes and files their 941s, 940s and W-2s, plus state filings for the states they work in. Deposit schedules are tracked and alerted on, so a semiweekly client does not become a penalty because a due date moved.

It posts to the books

Every plan includes the QuickBooks general ledger integration — payroll journal entries post straight through, so closing a month does not start with re-keying a payroll register.

Records that hold up

Append-only audit logs, locked pay runs that never rewrite history, and encrypted SSNs and bank numbers. Net pay moves from the client’s own bank account directly to their employees — it never passes through Hoshipay, which keeps your client’s money out of a third party’s float.
