Set it once, then run it
Tell Hoshipay how often you pay people and it builds the calendar — period start and end, pay date, and the deposit deadline that follows from it. On payday the run is already waiting with the right dates on it. You are not recreating a pay period from memory every two weeks.
Review, approve, lock
Nothing is final until you say so. Review the run line by line, approve it, and lock it. A locked run is frozen: later changes are recorded as corrections rather than edits, so a quarter you have already filed on cannot quietly become a different number. Every change lands in an append-only audit log with who did it and when.
W-2s and 1099s in the same run
Employees and contractors go through one pay run. Contractors are paid gross, employees are withheld correctly, and nobody ends up in a side spreadsheet that has to be reconciled at year end. Annual 1099s and W-2s come out of the same records.
Withholding to the IRS tables
Federal withholding is calculated to the IRS Publication 15-T tables rather than an approximation of them, and state calculations follow each state’s own rules. On full-service plans Hoshipay collects and remits your payroll taxes and files your 941s, 940s and W-2s. Deposit schedules are tracked, with alerts before a due date rather than after it.
Direct deposit, funded by you
Hoshipay prepares the bank instructions and you upload them to your own bank. Net pay moves from your account directly to each employee. It never passes through Hoshipay and never through Stripe — there is no third-party float holding your payroll for a day, and no processor between you and your staff. Standard timing is four days; one-day deposit is available as an add-on.
Hours, if you need them
Time and attendance is an add-on rather than a tax on everyone: a photo and GPS time clock, kiosk mode for a shared device, and timesheet approvals that flow into the pay run. If your team is salaried, you do not pay for it.
Your team stops emailing you
Employees get their own portal: pay stubs, year-to-date figures, and their payment details, self-serve. SSNs and bank numbers are encrypted at rest. The most common payroll interruption — someone asking for a copy of a stub — stops reaching your inbox.
