About Hoshipay

What is Hoshipay?

Hoshipay is an advanced, cloud-based payroll platform for small and midsized employers. It supports W-2 employees and 1099 contractors, direct deposit, payroll-tax calculations and filings, employee self-service, time tracking, and payroll reporting.

Why haven’t I heard of Hoshipay before?

Hoshipay is a newer company built to provide businesses with a modern payroll experience, competitive pricing, and exceptional customer service.

Is Hoshipay based in the United States?

Yes. Hoshipay is a U.S.-based company.

What industries does Hoshipay serve?

Hoshipay serves businesses across most industries. We currently do not support certified payroll, which is commonly required for certain government-funded construction and public-works contracts.

Getting started and switching

What do I need to get started?

You’ll need basic company information, your federal employer identification number, employee or contractor details, a payroll schedule, banking information, and the applicable state payroll-tax account numbers.

Can Hoshipay help me switch from another payroll provider?

Yes. Hoshipay can help bring over your employees and prior payroll history so year-to-date wages and taxes remain accurate when you switch during the year.

Can I switch payroll providers in the middle of the year?

Yes. Your prior payroll history can be entered so Hoshipay has the year-to-date wage and tax information needed for future payroll calculations and year-end forms.

Running payroll

Can I pay both employees and contractors?

Yes. W-2 employees and 1099 contractors can be managed through the same payroll system. Employees have the appropriate taxes withheld, while contractors are generally paid gross.

Can employees access their own pay information?

Yes. Employees receive a self-service portal where they can view pay stubs, year-to-date totals, and available year-end tax documents.

Can Hoshipay handle deductions and benefits?

Yes. Hoshipay supports items such as 401(k) contributions, health insurance premiums, employer contributions, paid time off, sick leave, and holiday pay.

Does Hoshipay support time tracking?

Time and attendance is available as an add-on. It includes a photo and GPS time clock, shared-device kiosk mode, breaks, geofencing, and timesheet approvals that flow into payroll.

Direct deposit

Does Hoshipay offer direct deposit?

Yes. Standard four-day direct deposit is included, and one-day direct deposit is available as an optional add-on.

What does four-day direct deposit mean?

Four-day direct deposit refers to the amount of time needed to process and deliver payroll funds. For example, if payday is Friday, payroll generally must be submitted by 5:00 p.m. Central Time on Tuesday. Bank holidays may require an earlier submission deadline.

Can employees update their direct-deposit information?

Direct-deposit information is currently managed by an authorized company administrator or payroll manager. Employees should contact their employer when they need to add or change a bank account.

Taxes and compliance

Does Hoshipay calculate and file payroll taxes?

Nova and Constellation include full-service W-2 payroll-tax calculations and covered federal and state filings. These filings include Forms 941, 940, and W-2. Spark is designed for contractor payroll and includes annual 1099 preparation and filing.

Does Hoshipay support payroll in multiple states?

Yes. Hoshipay supports nationwide payroll, with multi-state payroll available through the Constellation plan. Your second state is included, and additional states can be added as your company expands.

What if I am still waiting for a state payroll-tax account number?

You can record that your state registration is pending. Hoshipay can calculate and hold back the applicable tax while you wait. The setup step is completed after the state issues the account number and you enter it.

Are year-end filings included?

Yes. Applicable year-end filings are included with your plan at no additional filing fee. Spark includes annual 1099 filings, while Nova and Constellation include applicable W-2 and employer payroll-tax filings.

Pricing and billing

How much does Hoshipay cost?

Hoshipay offers three plans. Spark has no monthly base fee and is designed for contractor payroll. Nova adds full-service W-2 payroll and tax filing in one state. Constellation adds multi-state payroll. Current prices and optional add-ons are shown on the pricing page.

Is there a contract?

No. Hoshipay does not require a long-term contract. Subscription and billing changes can be managed through your company’s billing account.

When does billing begin?

You can set up your company before subscribing. Billing begins when you select a plan and are ready to run your first payroll—not while you are simply entering your setup information.

Is Hoshipay available for accounting firms?

Yes. Accounting firms can manage payroll for multiple client companies from one account. A firm can also run its own payroll free while it has at least one client company using Hoshipay.

Security and support

How does Hoshipay protect sensitive information?

Sensitive information, including Social Security numbers and bank-account details, is encrypted at rest. Hoshipay also uses access controls, two-factor authentication for privileged accounts, locked payroll records, and audit logs that record important account activity.
